|
Bar Location. First, you should decide where you would like to set up your bar or bars. The area you choose should be somewhere where your guests will have space to gather at but not too far out of the way from wherever you are setting up the food or dance area, if any. Make sure the flooring in the area is not slippery or uneven as you do not want anyone tripping with glasses or drinks or after having enjoyed a few cocktails. If you will be renting a portable bar rental, make sure that it fits in your intended bar setup area.
Cocktail Tables. If you have the space, you may want to provide cocktail table rentals for your guests to set their drinks down at while they socialize with each other. If you are interested in providing cocktail tables, we have Round Highboy Cocktail Tables (for standing at) and Round Lowboy Cocktail Tables (for sitting at or setting up as part of a lounge area) available as party and event rentals. These can be used as is or with 120” tablecloths for the high, bar height tables or 90” tablecloths for the low cocktail tables. We also have spandex tablecloths for the cocktail tables if you would like a modern look for your tables.
Bar Equipment. Be sure to provide the bar equipment you and your guests will need to prepare their own drinks. This type of equipment includes bottle openers, corkscrews, towels, knives (or just put out prepped ingredients) shakers, jiggers, stirrers, ice buckets and tongs.
Waste Collection. Whether you will have a bartender or your own guest serving themselves drinks and food, you will need to collect the trash and empty bottles so that your party or event doesn’t turn into a mess. You may want trash cans in different sizes and locations such as our 23 Gallon Slim Jim Trash Can Rental or the matching 23 Gallon Recycling Can Rental behind the bar or our large 32 Gallon Round Trash Can Rental outside at your outdoor event.
Glasses, Cups & Cocktail Napkins. If you will be serving drinks that require cups or glasses, make sure that you have enough for 3 cups or glasses as well as 3 cocktail napkins per person for every 2 hours of your event. If you will be having a special champagne toast, make sure to provide one champagne flute per person.
Drinks. Depending on your guest list you might choose to have beer, wine, spirits and/or non-alcoholic beverages such as soft drinks and juice at your event. Even if your event is adult-oriented, you should have water and a couple of non-alcoholic choices for those that do not drink alcohol and for any younger guests you may have. You can find drink calculators online but a good rule of thumb is to plan for 3 drinks per person for a 2 hour event or 5 drinks per person for a 4 hour event. You might also want to make a large batch of certain drinks and serve them in beverage dispensers for your guests to serve themselves. If you’d like to use beverage dispensers, we have some available for rent such as our Stainless Steel Single Beverage Dispenser and our Stainless Steel Double Beverage Dispenser party rentals.
Mixers & Garnishes. If you will be serving spirits like rum, tequila, vodka and gin, you will want to provide mixers such as juice, soda, lemons, limes and other ingredients that you need for specific cocktails you or others may like to make. Any garnishes you want to put out should be prepped ahead of time and displayed on your bar or serving table on a serving plate or container just before your guests arrive.
Ice. Hardly anyone likes a warm drink. Depending on the number of guests you will have, you may be needing a lot of ice to keep your drinks cool. You will need ice to chill beer and other bottled drinks as well as ice for drinks served in cups or glasses. For use in drinks, you should plan to have 1 lb of ice per guest. If you do not have an extra freezer, consider storing all this ice in coolers underneath or behind the bar for your event such as in our 120 qt Cooler rentals or our 150 qt Cooler rentals. Keep in mind you might want or need extra coolers or beverage containers to keep bottled or canned beer on ice.
Food & Dessert Bars. Whether you will be having a sit-down meal or not at your event, you will impress and keep your guests satisfied if you are able to provide a few snacks or finger foods that they can snack on throughout your event. A good way to set these up near your bar rental setup is by using our 6 ft Buffet Bar Serving Tables and 8 ft Buffet Bar Serving Table rentals. These bar serving tables can also be used for buffets, candy and dessert bars. They have 2 levels on which to layout your spread in a visually appealing way using your own tablecloths and other decorations. To avoid unnecessary stacks of plates and utensils, set up each portion on their own small plate and, if necessary, their own utensil for your guests to grab and go.
Restroom Facilities. If you will be setting up your bar rental outdoors, you may want to provide your guests with a Hand Washing Sink Station nearby to wash their hands often. If you won't have access to a nearby restroom, a Portable Restroom rental may help keep your guests comfortable by providing a nearby place to relieve themselves after drinking cocktails, beer and wine throughout your event. If you do not like the look of portable restrooms, you can camouflage them with plants or privacy screens or set them up in an out of sight area such as a side yard. Either way, providing outdoor portable restrooms and hand washing stations can help keep your home restroom clean during your event.
Do You Need a Bartender for Your Bar Rental? If you’re planning a formal event such as a wedding or will be hosting a large group, and want a few less things to worry about, consider hiring a bartender or team of bartenders. A bartender can help you choose what drinks to serve to stay within your budget. A good bartender or team of bartenders will help your event run smoothly. During your event, they can restock your bar and serve drinks to you and your guests. You won’t have to worry about what is running low throughout the event as they will make sure that you have enough supplies, beer, wine, spirits and non-alcoholic beverages for the number of guests you have invited. Bartenders will also know how to make or serve the drinks your guests may ask them for which will impress and satisfy your guest. This will keep your bar area clean and the drinks flowing which will make your guests happy and able to enjoy themselves at your event. If it fits in your budget, hiring a bartender will save you time and allow you to enjoy your event with your guests.
